WHATSAPP AUTOMATION

Your business already runs on WhatsApp. Make it a system.

Orders, enquiries, complaints and payment chasing all happen in WhatsApp — on personal phones, with no record and no follow-up. We turn that into a proper channel without changing how your customers behave.

The hidden cost

What running your business on personal WhatsApp really costs you

Orders vanish with an employee

When a salesperson leaves, the entire customer conversation history leaves with their phone. You cannot see what was promised or at what rate.

Nobody knows what was committed

A delivery date agreed in a chat nobody else can see. When the customer complains, there is no record to check — only two versions of the story.

Follow-ups depend on memory

A quote sent on Monday needs a nudge on Thursday. Whether that happens depends on how busy that person was.

The same question, fifty times a day

Rates, availability, delivery time, payment details. Your team types the same answers instead of doing the work only they can do.

No visibility for the owner

You cannot see how many enquiries came in, how many were answered, how fast, or how many turned into orders.

Messages at every hour

Customers message at eleven at night and expect a reply. Either your staff never switch off, or the customer waits and feels ignored.

How it works

The official API, not a grey-market tool

There are two ways to automate WhatsApp. One is an unofficial tool that logs into a normal WhatsApp account and sends messages by imitating a person. These are cheap and widely sold, and they get numbers banned. If your business number is blocked, you lose your entire customer channel overnight.

The other is the official WhatsApp Business Platform, which Meta provides for exactly this purpose. It costs a little per conversation, requires your business to be verified, and restricts what you can send without the customer's consent. It is also stable, legitimate, and will not be pulled out from under you.

We only build on the official platform. We handle the business verification, the number setup, the message template approvals and the connection to your systems. You get a green-tick-eligible business number that multiple staff can work from, with full history retained centrally.

Your customers notice nothing different. They message the same way they always have. What changes is what happens on your side.

What we set up

The WhatsApp automations that matter most

📥

Enquiry capture and routing

Every incoming message creates a record with the customer's number, what they asked for and when. It is assigned to a person, and if nobody replies within your threshold it escalates. Nothing sits unanswered because everyone assumed someone else had it.

🤖

Instant answers to standard questions

Rates, stock availability, delivery timelines, location, payment details and order status answered immediately, any hour, from live data rather than a fixed script. Anything non-standard goes straight to a human with the context attached.

📦

Order and dispatch updates

Order confirmed, dispatched, out for delivery, delivered — sent automatically from your system with the challan or invoice attached. Cuts the ‘where is my material’ calls sharply.

💰

Payment reminders that are not awkward

Polite, scheduled reminders before and after the due date, with the outstanding statement attached. Consistent chasing without a person having to make an uncomfortable call every time.

🔄

Quotation follow-up

Automatic nudges on the schedule you set after a quote goes out, stopping the moment the customer responds or the order is confirmed.

⭐

Feedback and re-order prompts

A short feedback request after delivery, and a re-order reminder timed to the customer's usual cycle. Both are quiet revenue most MSMEs leave on the table.

👥

Shared team inbox

Multiple staff working from one business number, each seeing the full conversation history. Handover between shifts or on leave stops losing context.

📊

Reporting for the owner

Enquiries received, response time, conversion rate and who is handling what — numbers you have never had for this channel before.

FAQ

WhatsApp automation questions

Will my WhatsApp number get banned?

Not on the official WhatsApp Business Platform, which is what we use. Bans happen with unofficial tools that automate a normal WhatsApp account — Meta detects and blocks those.

The official route has clear rules about consent and message types, and as long as you follow them your number is safe. We set those rules up correctly at the start.

Can we keep our existing WhatsApp number?

Yes, in most cases an existing number can be migrated to the Business Platform. Be aware that once migrated, that number can no longer be used in the normal WhatsApp app on a phone — it works through the business system instead.

Some clients prefer to start a new number for business and keep the old one during transition. We will walk you through the trade-off.

What does WhatsApp automation cost?

Two parts. Meta charges per conversation, with rates that differ by conversation type — this is paid directly to them and is typically modest at MSME volumes. Then there is our one-time setup and the automation build.

We will estimate your monthly Meta cost based on your actual enquiry and order volumes before you commit.

Can it reply in Hindi?

Yes, including the Hindi-English mix most Indian customers actually write in. We tune the responses on your own past conversations so they sound like your business.

Can we send promotional messages to our customer list?

Only to customers who have opted in, and only using message templates Meta has approved in advance. This is a firm platform rule, not our restriction.

We set up proper opt-in capture so your list is built legitimately. Blasting an unconsented list is how businesses get their number restricted.

Will customers know they are talking to a bot?

We recommend being straightforward about it — a brief note that this is an automated assistant and that a person is available. In our experience customers do not mind automation when it answers instantly and correctly; they mind being trapped in it.

So every flow we build has a clear way to reach a human quickly.

How many enquiries did you get on WhatsApp last month?

If you cannot answer that, it is the clearest sign the channel needs a system. We will show you what the numbers would look like.
